Companies Registry Online System - CROS

On 1st February, 2023, the Companies Registry of the Registrar General's Department launched the COMPANIES REGISTRY ONLINE SYSTEM (CROS). This system facilitates electronic submission of documents to the Registry. To use the online system, you must first register and create a Companies Registry Account. Once registered, a user will be able to access the following online services:

  • Name Search/Name Reservation
  • Public Record Search
  • Registration of Business Names
  • Incorporation of Companies
  • Registration of External Companies
  • Registration of Non-Profit Organisations
  • Filing of Annual Returns
  • Filing of Change of Directors
  • Filing of Change of Address
  • Filing of Notice of Secretary/Change of Secretary

Why register?

  • To gain access to CROS, through the creation of a Companies Registry Account (CRA)
  • To submit documents quickly and efficiently. The information stored in your CRA will:
    • auto-populate relevant fields when submitting documents through CROS
    • update the records of already registered companies and businesses, with which you have an association

How to register?

To register you will need to submit your personal information via the online application. To do this:

  • Select ‘apply for individual account’
  • Complete the application by entering your:
    • Birth certificate PIN (applicable to nationals of Trinidad and Tobago only)
    • Full name and any former name
    • Nationality at birth and current nationality
    • Date of birth
    • Gender
    • Occupation
    • Email address
    • Current residential address and postal address
    • Where applicable, the list of companies and businesses with which you have an association
  • Upload a copy of your:
    • Birth certificate
      • If your birth certificate is not in English, you must also provide a translation from a Ministry of Foreign and CARICOM Affairs approved translator. The birth certificate and translation must be uploaded as one attachment.
    • Two forms of photo identification
      • E.g. passport, national identification card or drivers permit.
    • Headshot (selfie) which clearly shows one of the submitted forms of photo identification next to your face
    • Deed poll or other documentation evidencing the change of name, if your name has changed.

The Registry then verifies your identity against the documents provided. Note: the documents provided are only for use by the Registry for verification purposes, and will not be shared with any other agency.

When your information is authenticated, the Registry will create your Companies Registry Account (CRA) and you will receive your login credentials and a unique CRA Identity PIN, which:

  • allows the Registry to know who is logged into the system
  • is used to transact business in CROS
  • represents the electronic signature of individuals authorised to sign documents electronically

Who should register for CROS?

  • Every person whose name is currently on a record maintained by the Companies Registry
  • Every person who wishes to:
    • incorporate a company or register a business name, non-profit organisation or external company
    • search the Register, download company/business files or apply for certified copies
    • conduct transactions on behalf of another
    • update/maintain their company’s records

CRA Identity Pin

The CRA Identity PIN is used to:

  • match the account to the company(ies), business(es) and non-profit organisation(s) with which the person may be associated
  • add other parties to documents

Within CROS, there are three types of PINs:

  • PIN - the CRA Identity PIN of a person
  • Business PIN - the CRA Identity PIN of a firm/partnership
  • Company PIN - the CRA Identity PIN of a company, whether profit, non-profit, external or a company incorporated by act of parliament/corporation sole.

The CRA Identity PIN is protected by Approvals.
